Victorian healthcare service Alfred Health (AH) is seeking proposals from providers for the supply and delivery of a range of printing hardware and services designed to manage document output, including printing, scanning, copying and faxing requirements.

AH is a healthcare services incorporating The Alfred, Caulfield Hospital and Sandringham Hospital, Melbourne Sexual Health Clinic, Paula Fox Melanoma and Cancer Centre as well as numerous community-based clinics.

The AH network currently comprises 816 printing devices including 313 multifunction devices (MFD) capable of printing, scanning and faxing, and 503 single function printers (SFP).

The current AH Managed Print Services (MPS) contract is set to expire in 2027, with the majority of the current fleet greater than seven years old and reaching the end of their useful life.

The successful provider will be tasked with supplying and installing networked multifunction device (MFD) and single function printers (SFP), along with assisting in disposing of old devices simultaneously in a secure manner.

Requirements also include implementation, project management, fleet maintenance, reporting, consumables supply, support, break-fix services and compliance monitoring; fleet review, optimisation, and device rationalisation for cost savings, environmental analysis, and document security; and continuous process improvement, business reviews, service performance monitoring, and workflow enhancement.

The objective of the tender is to appoint a single supplier to provide the full range of MFD, SFP, and associated Managed Print Services.

It will also be considered advantageous if the supplier can also manage parts of the existing fleet, particularly devices that are recently purchased or have minimal usage, until they reach the end of their useful life.

The current services were initially tendered in 2014, resulted in a consolidated fleet of 418 devices, with 342 newly leased and 76 retained from previous purchases.

Print optimisation strategies, including colour printing restrictions, were also introduced.

At the end of the leasing period, ownership of the new devices transferred to AH.

In the past five years, the fleet has expanded due to AH's growth and updates to clinical operations policies, such as the procurement of single-function desktop prescription printers (Small A4 monochrome) for consultancy rooms.
