NSW government agency icare has issued an RFI seeking information from the market to assess options for optimising its current document management landscape.
Within icare's remit is providing Workers Compensation insurance to 340,000 public and private sector employers in NSW and their 3.9 million employees, as well as insuring builders and homeowners, providing treatment and care to people severely injured on NSW roads; and protecting $437 billion of NSW Government assets, including the Sydney Opera House, the Sydney Harbour Bridge, schools and hospitals.
The optimisation may include improving, integrating, consolidating, or selectively modernising existing systems, as well as considering a single modern Enterprise Content Management (ECM) or Document Management System (DMS) platform where this provides clear business value.
Scope for the RFI includes the provision of enterprise DMS software - either SaaS, cloud hosted or on-prem - as well as professional services for its implementation, configuration and deployment.
icare is also seeking consolidation and migration of all documents, metadata and retention policies from existing Hyland, OpenText, TRIM and Tungsten systems into an optimised system, as well as knowledge transfer and training for internal administrators and end-users, and ongoing support and maintenance for the initial term.
Among the business outcomes sought by the RFI are unifying disparate document repositories into an optimised system to eliminate data silos and improve information accessibility; achieving a minimum of 20-30% reduction in annual licensing and maintenance costs by moving from multiple respondents to an optimised system; and enabling business users to rapidly build and modify document-centric workflows using low-code/no-code capabilities.
Other business outcomes include ensuring a single, enforceable records retention schedule and an unbreakable audit trail across all documents, as well as providing a foundation for intelligent automation, utilising AI for metadata extraction, classification, and intelligent search.
