IT and business service provider LogicaCMG has been awarded a contract by the Department of Education, Victoria to design and implement an electronic document management system (EDMS) at the organisation’s head office in Melbourne.

The contract follows a one-year rigorous procurement process and will see the Department replace its RecFind records management system with Open Text’s Livelink ECM eDOCS suite providing seamless integration with the Department’s Microsoft Office applications suite and support for all central business processes.

Colin Holgate, CEO of LogicaCMG Australia, said it had been selected to to help improve DoE, Victoria’s workflow efficiencies and meet its electronic document management requirements.

“Our track record of providing expertise in information management services coupled with Open Text’s industry-leading technology is a winning combination in assisting organisations with their compliance and knowledge management needs,” he said.

According to Holgate the Open Text system will help the Department to improve document version control and security, enabling specific access privileges to be assigned to those individuals required to view executive documents as they are developed for approval.

“It will assist in improving the Department’s response times to report information and advice via improved workflow and reduced document duplication by promoting consistency and streamlining records administration,” he said.

The Open Text system will also help the Department of Education meet the Victorian Electronic Records Strategy (VERS) compliance, a framework of standards in line with Victorian Government directives for permanent record storage and retrieval requirements, said Holgate.

LogicaCMG will incorporate all existing Department of Education processes into the Open Text system within their test environment. The system will be rolled out to 200 users across the Department including a regional office and the EDMS will be implemented to another 1,800 users over the next three years.

Last year, LogicaCMG and Hummingbird (Open Text acquired Hummingbird in October 2006) announced that they had been selected by the Queensland Government as its whole-of-government software supplier for an electronic document and records management system.

In addition, Melbourne's Metropolitan Fire and Emergency Services Board is implementing an enterprise-wide electronic document and records management system from the two companies.
