Austrade hunts for SaaS events management solution

The Australian Trade and Investment Commission (Austrade) has issued a tender, seeking a Software as a Service (SaaS) solution to provide robust event management capabilities for virtual, physical and hybrid events.

The successful provider will deliver a digital-first attendee journey that allows participants to gain market insights and develop international connections, while avoiding technical difficulties that limit engagement before, during and after events.

A key requirement for the solution is its ability to integrate effectively with Austrade's existing integration platform as a service (iPaaS), which routes data to Microsoft Dynamics 365 customer relationship management, Microsoft Customer Insights, and Adobe Experience Platform with content management system and analytics capabilities.

The tender specifies that priority capabilities include stakeholder engagement tools that offer "the full spectrum of attendee engagement capabilities – ranging from live broadcast of keynote speeches by VIPs to one-on-one or one-to-many interactions."

Another core requirement is business-to-business matching functionality, allowing Australian businesses to showcase their capabilities to international customers and facilitate focused discussions to progress business outcomes.

Austrade organises virtual and hybrid events that are an important channel for Australian businesses to engage with overseas customers.

The successful provider will also need to demonstrate strong localisation capabilities due to Austrade's international footprint, including integration with local marketing and social media platforms in markets like China.

The tender closes on Monday, 28 April 2025, with the contract proposed to commence on Tuesday, 1 July 2025.

An initial contract term will be negotiated for 12, 24 or 36 months, with extension options of up to six 12-month periods.
